Challenges

Katarzyna previously used multiple systems for time and attendance, rostering and payroll. This meant double handling of data, increased risk of human error and extra system costs. According to CFO Rahul Rana the payroll platform was very unreliable and the rostering system wasn’t able to interpret the General Award accurately which posed the risk of underpaying our staff.

Our automated award interpretation allowed Katazina to install the Award and “set and forget” pay conditions without any concerns or risks of incorrectly paying staff.

Employee Self Service

The staff of Katazina use the employee portal and mobile app WorkZone to manage their expenses, view payslips and schedules, and enter leave and timesheets. “Our expense system has been streamlined”, Rahul said, and the time previously spent answering emails with people asking for payslips etc. has now been eliminated.

Employee Onboarding

Employee Self Setup allows employees to manage their own onboarding information online,
eliminating the back and forth of email.

Challenges

AMICE team were struggling with managing multiple systems and duplicating data across rostering, timesheets, payroll and their accounting system. This was very time consuming and increased the risk of human error. Spending 8 hours each fortnight, AMICE needed to find a more cost effective and time efficient solution.

Manual collection and importing of timesheets would mean deadlines often weren’t met or data was missed, and a lot of time was spent by the accountant chasing employees. The team would have to depend on staff to have their timesheets ready and import them manually, but they would often be handed in late or missed which caused issues. AMICE previous system also produced a lot of errors when attempting to calculate the complex Child care award they pay to which posed a risk of underpaying staff.

Consolidating systems was a key priority for AMICE. They previously spent a full day using multiple systems but with our payroll they got this down to 1 hour each fortnight.

Our employee portal allows employees to manage and update their own information online or on their mobile, meaning no more employee requests. The Clock-Me-In time and attendance app was a real bonus for AMICE, generating timesheets for staff and doing all the shift calculations which solved the issues they were having with chasing timesheets.
